How the booking works with Sync Port

1. Rate validation

We check the quote against the real shipment: commodity, HS code, weight per container, equipment type, Incoterm and who pays which local charge. A rate is only useful once the scope behind it is written down.

2. Booking

We place the booking with the carrier that fits the sailing window, confirm terminal and equipment allocation, and return the confirmation with the deadlines already highlighted.

3. Deadlines and cut-off

Documentation cut-off, VGM cut-off and cargo gate-in cut-off are tracked as three separate dates. Missing one of them usually means rolling to the next vessel, not a small delay.

4. Documentation

Commercial invoice, packing list, draft bill of lading, VGM declaration and any destination certificate are checked for consistency before they reach the carrier, and aligned with the customs broker handling the DU-E.

5. Follow-up

From gate-in to sailing confirmation and B/L release, updates are sent in plain language with the next action named, in English or Portuguese.

Terminal allocation

Santos has more than one container terminal, and the booking is tied to the one the carrier uses. Terminal, gate rules and appointment windows change the trucking plan, so the terminal is confirmed before the truck is scheduled.

Free time and storage

Free time for empty pick-up and for storage is a carrier and contract variable, not a port constant. We confirm what the booking actually grants instead of quoting a market average.

Road access and gate windows

Access to the port area is scheduled and runs through a congested corridor. Peak export periods and truck queues are a real input to the cargo-ready date, not an exception.

Reefer and special equipment

Reefer plugs, flat racks, open tops and out-of-gauge cargo have to be requested at booking. Availability varies by carrier and by terminal, and it is not always confirmable on the same day.

Transshipment

Draft and vessel size

Santos receives the largest vessels calling Brazil and its access channel is maintained by dredging. For FCL out of Santos the binding constraint is normally the berth window and the cut-off, not the draft.

What is the difference between a customs broker and a freight forwarder in Santos?

The customs broker handles the export declaration with Brazilian customs. The freight forwarder handles the carrier side: rate, booking, equipment, deadlines, bill of lading and shipment follow-up. Most exports need both, working from the same information.
